Count your stock and correct the numbers

Do a stock take: print a count sheet, count the shelves, and type in what you found.

The quantity in Quid goes down when you sell and up when you record a delivery. Over time, the number in Quid and the number on the shelf drift apart: things break, go missing, or get miscounted. A stock count (Quid calls it a Physical Inventory) puts them back in step.

Correct one item

  1. Go to InventoryView Items and open the item.
  2. Click Update Quantity.
  3. Type the real quantity and a short reason ("found 2 damaged").
  4. Save.

Count everything

  1. Go to InventoryView Items.
  2. Above the list, under Physical Inventory, click Create.
  3. Choose how to sort the list. Sorting by Type and Category usually matches how your shelves are laid out.
  4. Tick Include Items With Zero Inventory if you also want to check items Quid thinks you have none of.
  5. Click Print to get a count sheet on paper, if you want to walk the shelves with a clipboard.
  6. Count. Type the number you found beside each item.
  7. Click Submit.

Quid changes every quantity to what you counted and keeps a record of the difference.

Good to know

Only stocked retail items are counted. Services and items not marked "Stocked" are left out.

Tip

Count when the shop is closed, or at least when the register is quiet. A sale made between counting an item and clicking Submit will throw that item off by one.

See what changed

ReportsInventoryPhysical Difference lists each count with the date and who did it. Open one to see, item by item, the old quantity, the new quantity and the change. Large differences on the same item, count after count, are worth looking into.

How often should I count?

Fast-selling or valuable items: every month. Everything: at least once or twice a year.

Stock arrived. Do I do a stock count?

No. Record the delivery instead, so the cost is updated too. See Receive a delivery (add stock).
