Receive a delivery (add stock)

When goods arrive, record them so your stock count goes up and your costs stay right.

Recording a delivery does two things: it adds the quantity to your stock, and it updates the average cost of each item using the price you actually paid. See Cost, price and profit: how Quid works them out.

In Quid a delivery is recorded as a bill: the supplier's invoice for what they delivered.

If you made a purchase order

  1. Go to InventoryPurchase OrdersView and open the order.
  2. Click Receive goods.
  3. Quid makes a bill with the same lines. Check each line against what really arrived:
    • Did fewer arrive than you ordered? Change the quantity.
    • Is the price on the supplier's invoice different? Change the unit cost.
  4. Type the supplier's invoice number in Bill No.
  5. Complete the bill.

Your stock goes up straight away.

If you did not make a purchase order

  1. Go to InventoryReceive / BillsCreate.
  2. Type the Bill No (the number on the supplier's invoice) and the Bill Date.
  3. Choose the Supplier and the Currency, then continue.
  4. Add a line for each item: the item, how many arrived, and what one cost.
  5. Complete the bill.

Many deliveries at once

If you have a spreadsheet of what arrived, load it with the Goods received import. See Load items, customers or stock from a spreadsheet.

Careful

A bill that is still Pending has not changed your stock. Stock moves when the bill is marked Complete. If your numbers have not gone up, open the bill and complete it.

The supplier sent some now and will send the rest later.

Receive only what arrived. Make a second bill when the rest comes.

I received the wrong quantity by mistake.

Correct the item's quantity with a stock adjustment. See Count your stock and correct the numbers.

Part of the delivery was free (bonus stock).

Add it as its own line with a unit cost of 0. Your average cost will go down, which is correct.
